The standard SOP format

The template follows the seven parts a usable SOP needs. The first five answer what, why, who and with what; the procedure and notes answer how and what to keep.

  1. 1

    Title

Names the task plainly, such as "Warehouse Receiving SOP".

  2. 2

    Purpose

One or two sentences on why the procedure exists.

  3. 3

    Scope

Who it applies to, and where.

  4. 4

    Responsibilities

The roles that perform and sign off the work.

  5. 5

    Equipment & PPE

Tools, supplies and protective equipment needed.

  6. 6

    Procedure

Numbered steps, one action each, with a caution on risky steps.

  7. 7

    Notes & records

What to record, keep and escalate.

Frequently asked questions

What is the format for an SOP?
A standard SOP has a title, purpose, scope, responsibilities, equipment and PPE, a numbered procedure with one action per step and cautions on risky steps, and notes on records and escalation. The template on this page uses exactly that order.
What are the 5 components of an SOP?
Most guides name five core parts: purpose, scope, responsibilities, the procedure itself, and records or references. This template adds a title and an equipment and PPE section, because front-line staff need to know what to bring before they start.
Is there an SOP template in Word?
Yes. Click "Word (.doc)" under any template on this page to download it. It opens in Microsoft Word with the headings and numbered steps in place, ready to edit.
Can I use this SOP template in Google Docs?
Yes. Click "Copy for Google Docs", open a new Google Doc and paste. The headings, lists and numbered steps keep their formatting.
Can ChatGPT create SOPs?
Yes, a general AI chatbot can draft an SOP if you give it a clear prompt and the structure you want, and you still need to check it against how the work is really done. SOPMagic is a free AI SOP generator built for this one job: describe the process in a line and it returns an SOP in this same seven-part format every time.
Is there a simple SOP template I can fill in quickly?
The blank template on this page is the simple version: seven headings, five starter steps and a prompt in every field. Delete what you do not need, and add steps until each one is a single action.
